Pre-Proposal Conference.
A pre-proposal conference will be held on December 01, 2025, at 1:00 PM (MT) until 3:00PM via Zoom.
Attendance Requirement - Mandatory
All vendors intending to submit a response to this RFP must have at least one authorized representative register and attend the entire conference. Registration must be completed no later than December 01, 2025 by 10:00 AM (MT).

After registering, vendors will automatically receive an email from Zoom with their unique join link, meeting details, and instructions for participation. Be sure to register early. Post any questions related to registration as instructed in section 2.04.
Purpose of the Conference
The Pre-Proposal Conference is intended to share information and address questions related to this RFP. During the session, participants may ask questions when permitted and directed by the presenter(s) at the beginning of the meeting. Some questions may require further review before an official response is provided.
Official answers and clarifications may be posted in the Q&A section on BidNet and, if necessary, included in a written addendum (see Section 2.04 Inquiries).
Only the RFP, its attachments and any written addenda are binding; verbal statements during the meeting will not modify the RFP.
Conference Participation
- Vendors may be asked to sign in before, during, and near the end of the meeting to confirm attendance.
- Proposals will only be considered from vendors who complete registration, comply with sign-in requests from the presenter(s), and attend the entire conference.
- Proposals from vendors who do not attend and confirm attendance as instructed will be rejected.
Important
The meeting will open 15 minutes prior to the scheduled start time to allow sign-in and resolve any technical issues. Please join at least 5 minutes early to complete the sign-in process. Late arrivals will be deemed non-responsive, and proposals from vendors who do not attend and confirm attendance as instructed will be rejected.
