TOWN HALL BOILER REPLACEMENT PROJECT
TOWN OF GUILDERLAND

NOTICE IS HEREBY GIVEN that sealed Bids will be received until 2:00 pm, September 11, 2025, at the Town of Guilderland Town Hall, P.O. Box 339, 5209 Western Turnpike, Guilderland, New York 12084, at which time Bids will be publicly opened and read aloud for the Town of Guilderland – Town Hall Boiler Replacement Project.
Project scope shall include:
- Furnishing and installing 3 new gas-fired hot water boilers.
- Furnishing and installing new boilers, circulating pumps, and new temperature gauges
- Connecting flues, gas piping, electrical, and supply and return lines
- Remove and dispose of the 3 existing boilers.
An optional pre-bid meeting will be held at the Town of Guilderland Town Hall, 5209 Western Turnpike, Guilderland, New York 12084, on September 3, 2025, at 2:00 pm.

Bids should exclude sales and compensating use taxes on materials incorporated into the work. The successful bidders, to whom the contract is awarded, will be required to provide a payment and performance bond equal to the full amount of the Contract. The Contractor must ensure that employees and applicants for employment are not discriminated against because of their race, creed, color, religion, sex, or national origin. New York State and Federal Prevailing Wage Requirements shall apply to this project.
No Bids will be received or considered after the time stated above. One original and one copy of the proposal forms must be submitted in a sealed envelope bearing the name and address of the bidder and clearly marked “TOWN OF GUILDERLAND – TOWN HALL BOILER REPLACEMENT PROJECT” and delivered to the Town Clerk at the Town of Guilderland Town Hall or sent to: Lynne Buchanan, Town Clerk, PO Box 339, Guilderland, NY 12084.
Digital copies of the Bid Documents may be obtained beginning on August 21, 2025, by emailing Lynne Buchanan at the Town of Guilderland at buchananl@togny.org or downloading them from the Empire State Purchasing Group at www.bidnetdirect.com/new-york/townofguilderland. Registration shall be required to use BidNet. If bidders need assistance registering, downloading, or submitting a response electronically, please contact Bid Net's Vendor Support Department at 800-835-4603, Option 2.
Complete hardcopy sets of the Bid Documents may be obtained from the Town of Guilderland Town Hall, P.O. Box 339, 5209 Western Turnpike, Guilderland, New York 12084, upon depositing the sum of One Hundred Dollars ($100.00) for each set of documents. Checks or money orders shall be made payable to TOWN OF GUILDERLAND. Cash deposits will not be accepted. Any bidder requiring documents to be shipped shall make arrangements with the Town Clerk and pay for all packaging and shipping costs.
Any addenda to the Bid Documents will be distributed to registered bidders based on how the documents were received. Interested bidders who requested the Bid Documents directly from the Town will be registered with the Town Clerk. Additionally, interested bidders who downloaded the Bid Documents from Empire State Purchasing Group will be registered and notified by BidNet.
The Owner reserves the right to waive any informalities or irregularities in the Bids received, or to reject any or all Bids without explanation.
