RFP-RC-2014-011 - Document Management Solution and Integration Services

Summary of Specifications:
The Rockland County District Attorney’s Office is seeking proposals to have both current and archived legal files scanned into a secure and encrypted database, using Docuware Software or equivalent document management software and integrating with its current case management system – Prosecutors Case Management System (PCMS) provided by the New York Prosecutors Training Institute. The PCMS is used by over 46 of the 62 counties in New York State. The project consists of consulting services, document repository design, the use of document management software – Docuware (or equivalent), software integration to the PCMS case management system and scanning services for both current and archived case files. The County is also requesting that a Cloud Storage Option be proposed. The County acknowledges that separate contracts for the license of software, maintenance and support agreements for the software, and the necessary implementation services may be necessary. The proposed solution shall allow for electronic filing and retrieving of files in the most secure method. The District Attorney’s Office may choose to provide the computer server required to run the Document Management Software. Proposals shall include specifications for all required servers and storage needs as well as an estimate of their costs. Proposals shall also include pricing for a Cloud Storage option hosted by the proposer or other recommended third party.
