Date: April 10, 2018. The City of Rochester Hills is soliciting proposals from professional firms to
provide the City of Rochester Hills with janitorial services. Proposals will be received by the City
of Rochester Hills, at the Purchasing Division, (Lower Level) 1000 Rochester Hills Drive,
Rochester Hills, Michigan 48309 until 3:00 p.m. local time, on Tuesday, May 1, 2018, at which
time and place the names of proposers will be read aloud.
All proposers should examine the sites to determine the amount of work to be performed in
connection with the projects specified. If the proposer does not make a site inspection, that proposer
accepts full responsibility and risk for any errors or omissions in his/her proposal.
A site visit (pre-proposal meeting) will be conducted on Wednesday, April 18, 2018 at 9:00 a.m.,
beginning at the Rochester Hills City Hall, (Purchasing Division Lower Level) 1000 Rochester
Hills Drive, Rochester Hills, Michigan 48309 (south off of Avon Road, east of Livernois Road).
This is an opportunity for contractors to familiarize themselves with the facilities and their
conditions. There will be no individual site visits conducted for this solicitation. It shall be the
responsibility of the Contractor to obtain all necessary information about the facilities during the
site visit including which areas of each facility is incorporated in order to submit a proposal on this
project. All correspondence or inquires from interested firms regarding this proposal shall be directed to the attention of Keri J. Bright, CPPB, Purchasing Analyst, City of Rochester Hills, 1000 Rochester
Hills Drive, Rochester Hills, MI 48309, (248) 841-2538, brightk@rochesterhills.org. All inquires
shall submitted by Thursday, April 19, 2018 at 11:30 a.m. (local time), in order that a written
response in the form of an addendum can be processed before the proposals are opened. Inquiries
received after that date will not be considered.
The City of Rochester Hills officially distributes bid documents from the Purchasing Division or
through the Michigan Intergovernmental Trade Network (MITN). Copies of bid documents
obtained from any other source are not considered official copies. Only those vendors who obtain
bid documents from either the Purchasing Division or the MITN System are guaranteed access to
receive addendum information, if such information is issued. The first step to do business with the
City is to become a registered vendor by visiting the City website at www.rochesterhills.org, click
on Business, Purchasing/Bids and under Quick Links click on Vendor Registration to link to the
MITN website. Final proposal results will be posted on the MITN website after award.
Please note if you are submitting proposal through the MITN website, the City of Rochester Hills is
capable of accepting documents in .docx, .pdf, .jpg, .tif or rtf formats. Due to security risks
associated with some file formats, the following file types are not able to be opened by the City:
DOC, DOCM, DOT, XLS, XLSM, XLSB, XLT, PPT, PPTM, RTF. All of these formats can
contain malicious code. The City is also not able to open ZIP files at this time. Alternatively you
could convert these files to PDF.
Any deviation from the specifications must be noted on the proposal.
