The Saint Tammany Parish Sheriff's Office is requesting sealed bids for COLLISION REPAIR PARTS
Bid contract is for SIX (6) MONTHS from the date of award with the option of ONE (1) SIX (6) MONTH renewal.
If the bid is re-newed, the piggyback contract will also re-new.
STPSO intends to purchase one (1) or more items for replacement parts for collision repairs on FORD, CHEVROLET, CHRYSLER, DODGE, NISSAN & GMC vehicles within the duration of the contract.

The Contractor shall provide collision repair parts, which shall include, but not be limited to;
Automotive Body Parts & Supplies
- Hoods
- Doors
- Fenders
- Bumpers
- Glass
- Quarter Panels
- After market Windshields and Glass including installation and calibration
as well as other miscellaneous parts & supplies
Bid prices shall be a percentage off the list price. The awarded Contractor must submit a current catalog and be able to provide all original, genuine, and authorized replacement parts and components for vehicles and equipment manufactured and/or sold by FORD, CHEVROLET, CHRYSLER, DODGE, NISSAN & GMC. Bidder must be an authorized original equipment manufacturer dealer for FORD, CHEVROLET, CHRYSLER, DODGE, NISSAN & GMC vehicles and must operate a parts facility. Bidder must be capable of stocking a large inventory assorment of vehicle parts. Contractor shall agree to deliver parts to all locations within the St. Tammany Parish Sheriff's Office with the main delivery location at STPSO Vehicle Maintenace department 2070 Collins Blvd. Covington, LA 70433. Delivery fees shall be included in the bid pricing and not added on to orders. Stock orders shall be ordered and delivered on a next day basis, unless parts are not available at the nearest store/dealership. Contractor shall honor all Company Manufacturers' warranties, defects and/or recalls on replacement parts and components purchased and installed by STPSO's Vehicle Maintenance Department. Bidders shall quote their respecitve bids on the bid form provided using a percentage discount off the current Company's Manufacturers' list price. Successful bidder shall guarantee that the prices in the catalog submitted with the bid and the discount(s) offered will remain firm from the date of the initial award for six (6) months. The St. Tammany Parish Sheriff's Office is estimated to spend $250,000 this year on vehicle repair parts.
After Market Windshields and Glass shall include delivery, installation and calibration fees and bid prices shall be a percentage off the list price.

Chevrolet - 284 units
GMC - 4 units
Dodge - 21 Units
Nissan - 58 units

For materials and products bids, Vendor must carry products liability insurance in a minimum amount of $1,000,000 for items it manufactures, constructs, or modifies prior to sale. All other items sold by the Vendor must include proof of Manufacturer's product liability insurance coverage. Vendors and Manufacturers agree to maintain a product liability and performance insurance policy in a minimum amount of $1,000,000 and must provide a Certificate of Insurance inclusive of Product Liability Insurance or other proof of coverage acceptable solely by the STPSO.

Bidders must meet all bid requirements to be considered. FAILURE to furnish required data may be considered as cause for REJECTION
OF BID for being non responsive.
Orders will be made on an "as needed" basis and NO Minimum Orders will be accepted.
BID AWARD
BID WILL BE AWARDED BY LOT AND ALL ITEMS IN THE LOT MUST BE BID ON TO QUALIFY. Vendor does not have to bid on each LOT to qualify; however, any lot that is bid on must be bid on in it's entirety to quality. The Bid is requesting percentage discounts on list price/retail price and will be awarded by Lot to the vendor that provides the highest discount. All items that are bid
on with % discounts, MUST include the MSRP upon order to ensure the proper discount is applied. In the event of a tie bid, the STPSO may award to multiple vendors or vendors may be asked to submit a best and final offer.
- Orders shall be received within 1 business day from date of order, or with approved extension
by STPSO with the maximum of 10 business days from the date of the order.
- Awarded products not delivered for two (2) consecutive weeks will be forfieited and award given
to the next lowest bidder.

The bidder represents that all equipment offered under these specifications shall be NEW. Used, Shopworn, Demonstrator, or Prototype models ARE NOT ACCEPTABLE.
Vendors electing to claim Louisiana preference, as defined by LA RS38:2251, et. seq., must complete the attached Louisiana Preference Claim Form and present it as part of the bid proposal.
The St. Tammany Parish Sheriff’s Office will receive sealed bids until 11:30 a.m., Friday, October 10, 2025, for Collison Repair Parts in accordance with the following instructions and attached specifications.
Bids shall be submitted either electronically or by paper on the attached bid forms.
Electronic Bids shall be submitted to www.bidnetdirect.com no later than the above mentioned date and time. Bidder must include all required documents noted in the bid specification portion of the document to be considered a responsive vendor.
Paper Bids shall be marked clearly on the outside of the envelope “COLLISON REPAIR PARTS” BID# 101025-01. All bids must be received by the above mentioned date and time. All bids received after the specified date and time will be rejected and returned unopened to the bidders.

Contract period will be for six (6) month’s from the date of award with the option to re-new for six (6) month’s. If the contract is renewed, the catalog to be used will be the awarded vendor’s current catalog for which the contract becomes active. For Example, if renewed for the period of December 1, 2025 – June 1, 2026, the awarded vendor’s 2025 catalog will be used for pricing. Discount(s) offered shall remain firm through the initial contract period. After the initial term of the contract, an evaluation may be done for market price adjustments.
The St. Tammany Parish Sheriff’s Office reserves the right to select a higher priced item from successful bidders where, in the judgement of the Sheriff’s Office, such item is of superior quality or design or would be more suitable for the purpose intended. The St. Tammany Parish Sheriff’s Office reserves the right to adjust quantities by increasing or decreasing and to reject any and all bids.

Delivery prices shall be included in the bid and shall not be added on to any orders. St. Tammany Parish Sheriff’s Office is exempt from all local, parish and state taxes.
The bidder who proposed the most advantageous discount(s) in conjunction with reasonable delivery and service will be awarded the bid.Submit any alternates or any additional savings that may be applicable for this bid.
Purchase orders will be issued to successful bidder as supplies are needed throughout the bid period; however, the St. Tammany Parish Sheriff’s Office reserves the right to purchase collision repair parts and supplies form any source. Item(s) known to be discontinued shall be noted on original invoice and cancelled. Substitutions will not be allowed.

Backorders – St. Tammany Parish Sheriff’s Office Vehicle Maintenance department shall be notified immediately on any backorders and given a projected time frame when item should be received. Backorders must be processed and approved and will not be cancelled automatically. There will naturally be instances where items are no longer available; these will be the exception rather than the rule and be handled on a case by case basis.
By signing and submitting bid, vendor certifies that this is the lowest bid prices for quality products.
Purchase orders will be issued as required by the St. Tammany Parish Sheriff's Office and the Vendor's Only authority to ship.
