Description

Weld County will award the bid to the reseller/vendor with the best offering deemed most advantageous to the County, price/cost being the primary consideration. The determination of whether the bid is acceptable and meets the minimum requirements of the solicitation is solely within the discretion of the County.

ONLY CISCO BRANDED MAINTENANCE bids will be accepted.
The items contained in this bid are Cisco products and are identified by Cisco part numbers. Bids on alternate brands will not be accepted.
Reseller/Vendor must certify that it is a CISCO authorized distributor or reseller as of the date of the submission of its bid, and that it has the certification/specialization level required by the manufacturer to support both the product sale and services, in accordance with CISCO certification/specialization requirements.
Reseller/Vendor must be a Cisco gold partner in the state of Colorado, currently under the state contract, have a minimum of 2 CCIE level Cisco Engineers on staff, and have an office with a robust test environment or “network lab” that may be utilized by Weld County within 90 miles of Weld County’s offices at 1401 North 17th Ave, Greeley, CO
All equipment listed, no matter the current expiration date must have a new contract support start date of June 30, 2023.
CUCM FLEX 3-year agreement will be paid annually

Only requests providing support inclusive of all items with an expiration of June 29, 2026 for the UCCX FLEX agreement (Paid annually) with a start date of June 30, 2023 for the UCCX Flex agreement with the designated service levels will be considered.
Itemized cost and annual costs MUST be provided.

Scope of Work:
The purpose of this bid is to establish a maintenance contract for Weld County Cisco equipment to support the existing UCCX environment within the Weld County voice infrastructure environment. Weld County seeks to establish a maintenance contract with a Cisco authorized reseller that will provide a flex premium support maintenance contract for our Cisco equipment.
Additional Quantity of Items or Units to be serviced:
Although this bid and resultant contract states a specific or an estimated number of items or units to be serviced, it is understood and agreed that Weld County may purchase additional services from the vendor, provided that these additional maintenance services represent the same manufacturer, model or brand, and unit price stipulated within the contract.
It is further understood and agreed that the successful bidder shall update Weld County’s Cisco account when new Cisco products are purchased. Should other agencies access the resultant contract, the successful bidder shall update the agency’s respective Cisco account.

Non-Appropriation Requirements:
All vendors for the three-year Cisco UCCX FLEX agreement must be aware and acknowledge the non-appropriation policy being recognized in the agreement. This annual billing platform is a three-year agreement whereas in the event of insufficient funds or budget, Weld County government will be able to exit and cancel the subscription with the reseller and Cisco without penalty.
The awarded reseller will accept three (3) annual purchase orders from the Weld County government until the end of the Agreement OR the Customer exercises the following Appropriation clause. As this agreement or any provision in it constitutes a multiple fiscal year financial obligation to Weld County government, it shall be subject to annual appropriation as required. The termination of the remainder of the multi-year subscription will be without any penalties, when submitting a non-appropriation claim by Weld County government.
