Description

The Town of Cedaredge is located in the Upper Surface Creek Area at an elevation above 6,000 feet on the south slope of the Grand Mesa in Delta County, Colorado. Cedaredge has an 18-hole municipal golf course where the front nine offers minor changes in elevation; however, the back nine is built along the hillside offering significant elevational changes in some areas. The course is generally open from February through November (weather permitting) and closes the months of December and January.

There is an existing lease for a fleet of golf carts that expires in September 2025. The Town of Cedaredge seeks proposals to replace its fleet of golf carts beginning the 2026 golf season. Ideally, we would like to include the following:
45 golf carts, all the same color(s)
1 Driving Range Unit
Gasoline powered
# decals on each side
Hinged windshield, clear
Sand bottles/holders- 2 each
Wheel covers
Ball/Club washing unit
Information holder
USB port (optional)

Additional Bidding Instructions

Submittals shall include a draft agreement with:

Specifications of the equipment
Rate to lease the equipment (monthly, annually, or seasonally), including delivery and pick-up.
Term of the lease - for a period beginning January 2026. The Town is interested in either a longer lease (5-6 year) for new carts, or shorter term (e.g. 3-4 years) lease for used carts that are no more than 2-years old.

Submittals shall be received no later than Thursday, August 28, 2025, 3:00 PM MST. Late submittals will not be accepted for review. Successful company shall enter into an Equipment Lease Agreement with the Town of Cedaredge.

The Town of Cedaredge seeks a company that will provide the best value and fit the needs of Cedaredge. Cedaredge reserves the right to request clarification of information submitted and to request additional information for any submittal. The Town reserves the right to reject all submittals, or to reject any submittal in part or in whole, and to award a lease contract to the most responsive and responsible firm as deemed in the best interest in the Town. Further, the right is reserved to waive any formalities or informalities contained in the submittals, to extend the deadline for the receipt of submittals, and to negotiate with one or more firms regarding desired modifications in the proposed work.

Any requests for clarification or additional information deemed necessary by any respondent to present a proper submittal shall be submitted in writing to Mr. Carl Holm, Deputy Town Administrator, at cholm@cedaredgecolorado.com, referencing this RFP. Written requests for information must be received a minimum of two (2) days prior to the submission date (7/29/2025). Any request received after the above-stated deadline will not be considered. All requests received prior to the above deadline will be responded to in writing by the Town in the form of an addendum addressed to all prospective respondents.
