Colorado Mountain College’s Central Services located at 802 Grand Ave., Glenwood Springs, CO is requesting quotes from qualified firms and/or individuals to provide Ellucian Colleague programming services to the Information Technology Services Enterprise Applications Staff, on an "as needed" basis.
SPECIFICATIONS
The College implemented Ellucian Colleague in 2005 in an on-site hosted SQL environment. The system(s) currently implemented include:
• Admissions
• Student
• Financial Aid
• Finance
• Human Resources
• Payroll
• Self Service (Student Planning)
• Recruit
Projects could also include assistance with 3rd party integrations, improving existing utilization of implemented systems and assisting with training of College Personnel (Information Technology Staff).
Proposals shall address items A and B below; and shall demonstrate ability to perform each of the tasks and functions listed in order to be considered.

Required Services: The successful bidder shall be able to fulfill and demonstrate the following service requirements, including programming, technical and training:

Proposals shall address, in detail, experience with the following:

Colleague is currently hosted on site in a SQL environment.

Timeline for RFP is listed below. Resulting contract may be one to three years in term with a July 1, 2021 start date.
PROPOSAL CONTENT
The information provided herein is intended to assist Bidders with a proper response to this RFP. CMC believes that this RFP provides interested Bidders with sufficient information to submit proposals that meet minimum requirements. However, the RFP is not intended to limit a proposal’s content or to exclude any relevant or essential data. Bidders are encouraged to include additional information that will substantiate their service capabilities, product quality, and commitment to support your product or service. Any exceptions or alternate offerings to this request must be communicated. CMC reserves the sole right to determine what is considered to be “equivalent” or “equal”. CMC also reserves the right to request samples for testing and evaluation.
Additionally, CMC recognizes you as the expert in this industry and we appreciate ideas that may improve the design or implementation of our project. Please submit your bid to the specifications provided and include information or ideas you may have that CMC should consider to improve our project. Our selection committee will carefully review these ideas and we will contact you with questions.
Proposal Content Requirements
Colorado Mountain College suggests that you include the following information in your proposal. Proposals should adequately address the details of the proposed contract.
a) Contractor Summary:
Include a brief history of your company including your experience in dealing with similar projects. Also include the owners' names or those persons authorized to sign contracts for your business.
b) Capabilities and Methodology:
Detail your company's capabilities in delivering the requests in this proposal. You should use this section to outline your proposed method for achieving project results in a remote and on-site setting specifically. This should include how you typically work with a client to negotiate rolling projects over an extended period-of-time and tracking project milestone
c) Expected Results:
Use this section to summarize the expected results of your methodology listed above. This should also include a sample of how you manage tracking project timelines and meeting project milestones.
d) Executives, Staffing, and Management:
List the high-level executives or officers in charge of completing the project and a summary of their background. You should also use this section to list the projected staffing and management necessities and their estimated cost. Specify how you will obtain the staff to complete the project.
e) Communication:
Explain how you intend to communicate between executives, management, and staff in addition to how you will communicate to the project manager to ensure the project stays on schedule.
f) Equipment:
Detail the equipment necessities as well as their estimated cost. If you will need additional services or space from Colorado Mountain College you should list those requirements here with a brief explanation.
g) Expense Breakdown:
Provide an itemized summary with pricing of the following items:
1. Identify a blended hourly rate for the initial services for a one (1) contract;
2. Identify a blended hourly rate for a one (1) additional contract year, upon satisfactory service performed by the awarded vendor; and
3. Include estimated travel expenses. Travel expenses for airfare, hotels and an amount of $64.00 per day for meals (alcohol will not be reimbursed) will be reimbursed. All receipts for the above named travel expenses are to be submitted to the Project Coordinator for approval).
h) Expense Summary
Give a brief summary of the total costs for your proposed contract. You may also include a brief explanation of the contributing costs to the total cost.
i) Licensing and Bonding
Include any licensing and bonding materials that may be applicable.
j) Insurance
Provide sample certificate of insurance for evidence of coverage only in compliance with the insurance requirements attached hereto.
k) References:
Provide 3 references for past projects of similar scope and size.
