The Colorado Department of Transportation (“CDOT”) requires document management services from one vendor to ensure consistency, timeliness, and advanced engineering geospatial usability. The successful vendor will have the best approach and methodology for completing the initial stages of document management requirements in the tight timeframe required and at the most advantageous to CDOT, price and other factors considered. The successful vendor will be able to respond quickly to CORA requests and return, either physically or in electronic format, documents within a given shipment to be scanned. Therefore, the vendor’s response time and internal organization (ability to store and locate documents) is critical to the Contractual agreement. The successful vendor is one who can supply scanning, conversion services, shredding, and storage in order to accommodate CDOT’s needs at the most cost effective price based on quantity. CDOT recognizes that most of the documents requiring permanent retention require Geospatial engineering expertise in order to make the documents useful to its engineering staff. The successful submitter will be able to provide a proven track record, demonstrating that it has provided services of an engineering capacity to other clients, and include a list of references.
