The City of Loveland (“City”) is seeking information from qualified proposers to assist the City to build out its Microsoft 365 suite, including Teams, SharePoint, and OneDrive, as well as other Microsoft 365 applications as proposed (collectively “Microsoft 365” or “365”). It is anticipated that all work will be accomplished during regular office hours (Monday-Friday, 8:00 a.m.–5:00 p.m. MT). The City Attorney’s Office (“CAO”) will be the first department to award a contract for this build out; however, there may be other departments that use the award from this RFQu to contract for their needs, which are similar to CAO. CAO desires to use the available features and apps to create, and smoothly integrate into, a shared file management system for the CAO. If another department desires to use the award from this RFQ for such department’s needs, a separate contract will be entered into between Proposer and the City department due to the unique needs of each department.
The City seeks a proposer to assist with the configuration, setup, and platform development (“Build-out”) of Microsoft 365, primarily utilizing the products currently licensed by the City, which are Microsoft 365 G3 licenses for staff. The department’s shared drive(s) must be converted to SharePoint and integrated into the relevant Teams and Channels. The proposer shall be able to set up departmental-internal SharePoint site(s) and an Intranet/SharePoint site(s) that all City departments can access with appropriate permissions. Departmental SharePoint sites will have consistent look, feel, navigation, and design across the organization.
In addition to the basic components of 365, departments seek information regarding the customization of 365 with additional applications to best leverage the capabilities of 365 services — preferably with applications already in the City’s existing Microsoft 365 suite or, if necessary, at an additional cost. Further, the department’s request information identifying which applications might be used to accomplish the tasks in the Scope of Services below, including but not limited to Outlook, Planner, and OneNote. Along with the Build-out, departments will require training on how to maintain, add to, and update the various services.
