The contractor’s creative team’s leader may meet with the Department’s magazine staff in face-to-face meetings as the Department requires at the location the DNR requires, subject to COVID-19 restrictions. Contractor may be required to attend an initial meeting with magazine staff, either virtually or in person at the GEF 2 office building (101 S. Webster St., Madison, WI). Items of discussion will include terms of the contract, planning/production schedules, procedures for exchange of files (Dropbox, WeTransfer, etc.), procedures for FTP file transfer to printer, exchange of proofs, etc. Contractor may be required to represent magazine staff at press checks on printer’s premises (location not yet determined, as the magazine’s print contract is being rebid). Occasionally, contractor may be required to attend additional planning meetings at the magazine offices or virtually, though not on a routine basis. Additional meetings may be required, but it is anticipated that most of the interaction among magazine staff, graphic designer and printer will be by email and phone. The contractor shall provide and pay for pick-up and delivery services (if required) for all transfers between their office and the DNR magazine’s editorial offices in Madison. The contactor will also provide transfer to the printer’s FTP site of high-resolution PDFs of the final files one week before the press date. The printer then provides final printer proofs for review by the design contractor and editorial staff; the contractor is responsible for delivery of these proofs from the printer’s premises.
