Scope: Provide influenza and COVID-19 vaccines to UW-Madison students, faculty and staff. We are expecting the need of around 17,000 total vaccines. Each Fall for the term of the contract, usually September through December. Deliverables: a. Provide vaccines. b. Provide and manage qualified personnel to administer vaccine. c. Provide vaccines to students, faculty, and staff only as indicated by student eligibility or employment-related requirements. Vaccines shall be administered to students who are eligible for services through UHS, as determined by enrollment and fee status. Vaccines shall be administered to faculty and staff only when vaccination is indicated based on UW-approved employment-related requirements (e.g., clinical, research, or biosafety roles as determined by Environmental and Occupational Health), or when otherwise permitted through campus-coordinated vaccine clinics. Contractor must bill insurance and work with UHS to determine any potential out of pocket costs for faculty, staff and students prior the beginning of the fall campaign. For faculty and staff, the contractor must have the capability to bill employee health plans directly (e.g., through the eleven major commercial plans accepted by UW System employees). There should be no direct cost to covered employees. d. Immunization documentation must be uploaded to Wisconsin Immunization Registry (WIR). Immunization documentation must also be provided to UHS via secure transmission approved by UHS and UW-Madison. Contractor shall provide documentation and reporting of all occupationally-related vaccinations administered to UW–Madison faculty and staff. This documentation must: Clearly indicate that the individual was vaccinated pursuant to employer-directed requirements; Include the individual's name, date of vaccination, vaccine product administered (including lot number and expiration), and location of administration; Be transmitted securely to UW-Madison-designated Occupational Health personnel or systems, and in a format approved by UW-Madison e. Partner with UHS on communications and outreach to both students and employees. f. Willing to partner with campus health professional students to provide supervised clinical experience, while also supporting staffing needs at vaccine clinics. g. Provide on-site or mobile clinics at designated locations on or near campus to ensure accessibility for both students and employees across various work schedules and campus areas. h. Contractor shall submit billing for faculty and staff vaccine recipients only under the following conditions: The employee has been preauthorized by University Environmental and Occupational Health (EOH) for vaccination based on job-related requirements; and EOH has confirmed that the employee does not have access to UW System-provided health insurance and, therefore, is not eligible for insurance-based billing. **In such cases, the Contractor shall bill EOH directly under the terms of this agreement and at the contracted rate. The University will not authorize or reimburse charges submitted outside this preauthorization process. All billing must reference the EOH preauthorization documentation and follow University-approved invoicing procedures.
