The intention of this RFP is to award an open-ended agreement with the University for a three (3) year term with an option to renew to the qualified Proposer(s) who will be responsible for new placement and installation of digital signage screens (Information Stations/Info Stations); and replacement of existing screens on an as needed basis. For new installations, the Service Provider must hold valid Morgantown and State of West Virginia contractor permits, as well as a satisfactory Certificate of Insurance and Purchasing Affidavit (see Section E – Requirements). The Service Provider shall provide the labor, supervision, equipment, tools, materials, maintenance, supplies and other necessary items to perform the professional services set forth below, with the standard of professional care and skill customarily provided in the performance of such services and to the satisfaction of the University. Any associated task that involves construction in accordance with the West Virginia State Code will be performed by contractors with appropriate licenses, insurance, and other required qualifications. The University may select one or multiple Apparent Successful Proposers from this solicitation, and the resulting contract(s) shall be non-exclusive. Requirements A. Data Port Installations and Activations • Provide installation and activation of all necessary data ports to support Info Station connectivity. B. Electrical Circuit Installations • Provide installation of dedicated electrical circuits as required for powering Info Stations. C. Digital Signage Screen Installations The Service Provider shall provide installation services for digital signage screens across WVU’s main and satellite campuses (see “Attachment B – Info Stations Location and Installation Map”). Services include, but are not limited to: • Installing and mounting digital signage displays (monitors), enclosures, or custom video walls (ADA-compliant). • Installing, connecting, and verifying data, audio, video, and power connections. • Coordinating with colleges, schools, departments, or units to ensure functional installations. Page 3 of 15 Last Updated 7/2024 • Working with WVU Strategic Communications and Marketing to confirm screen and player activation within the Enterprise Yodeck digital signage system, and that all installations allow secure access for Strategic Communications & Marketing to manage the content. • Performing troubleshooting and repairs for individual colleges, schools, departments, or units as needed within one (1) business day of request for the term of the agreement. • Supplying all required equipment, wiring, and accessories for a fully functional Info Station system. • Providing turnkey services including engineering, installation, programming, commissioning, testing, and training. • Delivering a documentation package including as-built system CAD diagrams and manufacturer’s operation manuals. • Providing user training on system operation. D. Information Security • An approved University ITS purchase request will be required before finalizing the contract. WVU information security standards must be followed: WVU IT Security Policies.
