EngageOne (formerly known as StreamWeaver) is a software product that allows forms to be processed while incorporating pertinent data (filling in the blanks) for each form. Multiple forms/letters going to the same recipient can be sorted and combined into envelopes. This saves postage costs and increases the integrity of our print to mail process such that recipients receive only their own mail. Other sophisticated aspects of utilizing EngageOne include facilitating recovery of envelope insertion errors and managing foreign address mailings. This software also directly communicates with the mail inserter machines utilized for the agency’s mailings and notifies the inserter of how many items of mail each envelope should receive, as well as other logistics information the inserter uses to ensure the integrity of our insertion process. This software, EngageOne, by Precisely, is also sole source for this software process. Should the software or the machine it is running on become inoperable, critical correspondences would come to a halt for a significant amount of time. These correspondences include benefit checks to claimants. As is the nature with software in this type of role, it has taken years of custom script and EngageOne process authoring to get the software to do everything we need it to do correctly for the multitude of different data files and associated forms that we have. As such any attempted change to another software package would require long timeframes, to configure, and during this time we would be unable to generate federally and state mandated correspondence that must be sent to our customers due to the expired EngageOne license. Please note: This is a Sole Source Notification.
