Scope of Work Description Consultant shall work collaboratively with the Port to develop conceptual design options for replacing the existing Conference Center A/V system within the Airport Office Building (AOB) Conference Center. The Consultant shall evaluate user needs, identify system options, and prepare planning-level recommendations to inform the Port’s Capital Project planning process. Tasks and Deliverables 1. Project Kickoff Meeting 1.1. Conduct a kickoff meeting with the Project Manager and key stakeholders to confirm objectives, schedule, and communication protocols. 1.2. Review existing A/V system documentation, as-built drawings, and any prior studies or reports. 1.3. Identify additional data needs, site access requirements, and key decision points. Deliverables A. Project kickoff meeting notes or minutes. Due: Within one (1) week of kickoff meeting. 2. Stakeholder Engagement and Needs Assessment 2.1. Conduct stakeholder interviews or workshops with conference center users, Port ICT staff, Port facilities management, and other relevant Port departments or relevant stakeholders. 2.2. Document functional and performance requirements, user preferences, and operational challenges with the current A/V system. 2.3. Summarize findings into clear user needs, desired system capabilities, and integration requirements with existing infrastructure (e.g., network, lighting, control systems).
