Catering services for the Partners in Policymaking Graduation Ceremony to be held on Saturday, April 7, 2018 from 10:00am – 2:00pm at the Patrick Henry Building East Reading Room, located at 1111 East Broad Street, Richmond, Virginia. A. Contractor must be able to provide both catering services and event setup. The event setup must occur on the day before the event, Friday, April 6, 2018 between 8:30AM-12:00PM. (See section E.1.a). For subsequent optional renewals the date for those years will be discussed with the Vendor at least 90 days in advance, to ensure availability. B. Contractor is responsible for providing the appropriate reception event set-up necessities which include but not limited to Apple Green, White and Navy table linen (which are the agency colors) to accommodate the 125 guests and their seating arrangements; tables include both rectangular and cocktail style tables to be dispersed throughout the Patrick Henry Building East Reading Room. C. Contractor is required to set up room in cooperation with the Program Director to ensure that all accommodations for persons with disabilities are met. D. Contractor must be able to provide the following menu with special dietary considerations for 125 guests on Saturday, April 7, 2018 for the PIP Graduation Reception at the Patrick Henry Building, East Reading Room: • Meatballs • Chicken wings • Ham • Salmon • Fruit • Cheese and Crackers • Chips and Dips • Desserts
