Specifications include, but are not limited to: Offerors shall have the capability, experience and resources to provide the scope of services outlined herein, in addition to proposing additional services that will benefit the Owner. Offerors shall briefly confirm, within their proposal response, their experience in tasks within the following areas as these will likely encompass the type of project orders the Contractor would expect from the Owner. Contractor shall provide Entertainment/Production Services to include, but not limited to sound and light show, background music, dance music, disc jockey (DJ) services and/or master of ceremonies activities. Group I, Convocation: The Contractor will supply and coordinate all production aspects of the convocation. This includes providing the audio, video, lighting, staging and media content, and providing staff as needed. Convocation is traditionally held one to two (1-2) weeks prior to the opening of the school year. Convocation is held at a location determined by the Owner, but traditionally, at one of the three Owner high schools. 3.1.1.1 Lighting equipment and console, including an experienced operator: The stage lighting package should include lighting to cover the entire stage area in a general illumination that provides a clear view to spectators. Only general illumination is needed for the on-stage seating. The lighting package should include a computerized lighting console that can record and playback "lighting looks" as well as manually dim or adjust lighting. ETC Express, Ion, or any comparable console is acceptable. 3.1.1.2 Production Manager: Contractor shall provide a Production Manager, who is needed on site for the convocation. This individual will have overall responsibility for the smooth execution of the production. 3.1.1.3 Sound equipment and console, including an experienced operator: Contractor shall provide a complete sound system for live speech and pre-recorded music. The system shall have at a minimum Array speakers and 2-way speakers to fill room with sound, podium and wireless microphones for presenters on stage. The system shall also have the capabilities of delay and EQ on outputs for use in tuning the system for the highest performance. Time delay on microphone inputs is requested. A distributed system should provide for main seating area and on stage audio monitors should provide for speech. A digital console should be provided. 3.1.1.4 Stage: The stage should be 12’ deep x 16’ wide x 24” high. It should include steps on the left and right side of stage with handrail on each set, black skirting around front of stage, and black pipe and drape behind stage below screen. 3.1.1.5 Media Content: PowerPoint and/or Keynote Slides should be setup in a 16:9 Aspect Ratio to take advantage of the full screen and videos should be in a 720 or 1080 format. Videos and slides should be finished and presented to the Owner forty-eight (48) hours prior to rehearsal.
