Specifications include, but are not limited to: 1. The Contractor shall provide all labor, food, materials, equipment, supplies, resources and any incidentals necessary to provide catering services as specified herein for adults attending the Jamestown-Yorktown Foundation Historical Clothing Conference June 5-7, 2020. 2. The Contractor shall provide a plan/menu to provide catering services for the entire conference as part of their bid using the parameters specified herein. 3. The contractor must be primarily engaged in an established catering business as specified herein. 4.1 General Contractor Requirements: Food Preparation: all food will be prepared at the Contractor’s business site (off-site) and delivered to the location(s) specified below for each meal by the specified time on each date; hot beverages may be prepared on site. I. Day 1-Friday, June 5, 2020 1. Lunch for 100 people a) Suggested Menu: Assorted Sandwiches, Assorted Cookies or brownies, Assorted fruit, Tea, Lemonade, Water and elegant disposables to include cups, plates, utensils, napkins & condiments b) Deliver to Jamestown Settlement in time to set up lunch in education wing atrium and ready for participants to eat at 11:30 a.m. 2. Dinner for 100 people in the Education Wing Atrium: a) Buffet Style Dinner b) Deliver to Jamestown Settlement for set-up in education wing atrium with ample time to begin service at 5:30 p.m. c) Dinner served at 5:30 p.m. Contractor-provided serving staff will arrive early to ensure dinner is served promptly. 3. Dessert Reception for 200 people in Rotunda following the Tudor Tailor Presentation: a) Assorted small desserts for 200 people. (Variety is important) b) Non-alcoholic beverages; coffee & tea c) Dessert should be ready to serve by 7:30 p.m. d) Contractor to provide staff to monitor/replenish dessert reception as needed. e) Deliver to Jamestown Settlement for set-up with ample time to begin service at 7:30 p.m. II. Day 2-Saturday, June 6, 2020 1. Lunch for 100 people a) Suggested Menu: Assorted Sandwiches, Assorted Cookies or brownies, Assorted fruit, Tea, Lemonade, Water and elegant disposables to include cups, plates, utensils, napkins & condiments b) Deliver to Jamestown Settlement in time to set up lunch in education wing atrium and ready for participants to eat at 11:30 a.m. 2. Dinner for 120 on the Pier a) Upscale stand-up Reception/small-plates dinner in on Ships’ main pier. b) Lay down area/catering kitchen available in riverfront amenities building. c) Electrical outlets available, although may need extension cords. d) Small plates dinner (serving in place of dinner, so plenty of food is needed) e) Heavy hors d’ oeuvres set up free flow style; food stations in multiple locations f) Seasonal food choices are acceptable, but nothing “drippy” g) Table linen needed for food stations h) Non-alcoholic beverages
