Specifications include, but are not limited to: Ability to send appointment reminders in English and Spanish (based on user preferred language) to DHS customers prior to their appointment (within 1-3 days of the appointment)
Ability to provide all of the following methods for sending appointment reminders: Text (SMS), Email, and phone message. Clients will be able to choose the method by which they want to be notified.
Ability to provide professional voice talent to record phone messages in English and Spanish.
Ability to request from customers to either confirm, cancel or request a reschedule of the appointment
Ability to filter out records that have opted out for notification. (e.g. If client does not want to be contacted)
Send reminders to all participants of group appointments
Manage appointments from multiple appointment calendars. (e.g. One appointment calendar per program),
Allow the County to choose a phone number from which to send voice and SMS messages. (e.g. Calls look to be originating from Arlington County Government, generic customer service number,703-228-####)
Allow County to develop, modify and use its own wording for the contents of reminders
Allow County staff to review and test client notifications prior to go live implementation
Obtain County project manager approval before go-live date
Provide on-demand reports with results of the reminder calls (e.g. confirmed, canceled, rescheduled, wrong or disconnected number)
Have a simple and secure mean for DHS staff to upload data from existing scheduling systems into Excel or CSV format.
Solution must be HIPAA compliant and vendor must sign the Exhibit A, Business Associate Agreement of the Standard Form Agreement.
