3. The Contractor shall provide one (1) large meeting room allowing for both private working space and secure storage of supplies for the duration of the meeting. The meeting room should be secured, with 24-hour access by VCCS staff. It should also have Wi-Fi access, and a trash can will need to be provided. 4. VCCS strongly prefers that all conference lodging rooms are located within ten (10) miles of the Contractor’s facility. If the Contractor’s facility cannot accommodate the number of lodging rooms then the Contractor must indicate what “overflow” lodging accommodations are available and provide VCCS with contact information for the overflow facilities. 5. The Contractor shall charge only for rooms occupied. 6. Contractor shall be responsible for tracking all sleeping room reservations made against the room block. The Contractor shall provide VCCS with guest room lists upon request.
