Specifications include, but are not limited to: 1. Immediate Needs: To meet our immediate need Contractor shall provide all materials, labor, and equipment necessary to maintain soccer fields and athletic surfaces Sports Backers Stadium, located at 100 Avenue of Champions, Richmond, Virginia. Sports Backers Stadium is 5-7 Acres and currently consists of one sand-based Tahoma 31 natural grass field. a) VCU estimates the usage of the soccer field at existing Sport Backers Stadium to be as follows: (1) (20 - 30) Intercollegiate soccer games (Aug. 1 – Nov. 30) (2) (6 – 8) High School Soccer Games (November) (3) (6-8) Intercollegiate Soccer Scrimmages (March – April) (4) (8) Intercollegiate, High School & Youth Track & Field Meets (5) (1) Youth soccer camp – (summer) (6) Potential for other games, special events, camps, etc. 2. Future Needs: To meet our future needs the Contractor shall also be responsible for the transition to the upcoming athletic fields at the VCU Athletic Village. The Contractor shall provide all materials, labor, and equipment necessary to maintain soccer fields and athletic surfaces. Once the VCU Athletic Village fields are complete the Sports Backers Stadium fields will no longer be in use and maintenance would then cease. a) The usage of the new fields at VCU Athletic Village is yet to be estimated, but the Contractor should be prepared to accommodate a similar schedule of events and activities. b) The new facilities will include: (1) One full size Shaw artificial turf field with runoff 400’x265’, 106,000 sf—NXT 2.0 with NXTPlay Pad and Geofill Infill (2) Two sand-based Tahoma 31 natural grass fields. 400’x 265’, 106,000 SF c) The maintenance of these new fields shall be incorporated into the Contractor's services upon their completion. d) The size of the new athletic fields at the VCU Athletic Village will be provided as they become available. The VCU Athletic Village fields are anticipated to be completed near August 2024. The Contractor is expected to adjust their services accordingly to meet the needs of the expanded facilities. e) The fields shall be maintained to the highest standards of athletic field maintenance, meeting or exceeding all NCAA rules & regulations for soccer fields and playing surfaces. All turf maintenance shall adhere to the best industry practices and specifications provided by the athletic department. f) Maintenance services for both existing and upcoming fields will include but are not limited to: (1) a general field maintenance plan, (2) general field consulting, (3) equipment maintenance (if any), (4) mowing schedule, (5) fertilization plan, (6) aeration schedule, (7) over seeding plan/schedule, (8) winter coverage plan, (9) sodding, (10) fungicide & herbicide applications, (11) soil testing, (12) and irrigation schedule. g) Maintenance for the new turf field at the Athletics will include but are not limited to: (1) grooming of infill and turf, (2) disinfecting the surface, (3) repairing seams, (4) and stain/debris removal. h) The Contractor should also manage event-related maintenance such as proper edging, line-painting, and other preparations deemed necessary to keep the fields ready for competition. Services should be adjusted in response to weather, turf conditions, practices and/or game schedules, and other factors that will influence the condition of the fields.
