Specifications include, but are not limited to: Selected firms shall provide services detailed below in providing and maintaining a scholarship application software. A. Mandatory Requirements – the vendor must provide the following: 1. Functionality: a. Automatically screen, match, and apply students to relevant scholarship opportunities using student profile data imported from Banner ERP system. b. Capability for current and prospective students to search all scholarship opportunities using defined criteria. c. Recommend scholarships to students based on their profile. d. Prompt students for additional information for specific scholarships (i.e. essays or letters) or specific qualification questions. e. Capability for students to review and accept or deny scholarship awards online along with the terms and conditions of acceptance. f. Automatically notify students, preferably by email, during various stages of the application process including selection for award. g. Online review of pre-qualified applicant materials by scholarship administrators, donors, or committee members including student profile data, essays, transcripts, and references. h. Provide online rating of applicants against specific weighted criteria as defined by the University of Mary Washington. i. Monitor and track students’ completion of scholarship requirements. j. Capability to restrict the number of scholarships a student can apply for and separately restrict the number of scholarships that can be awarded to an individual. k. Provide communications and notifications between staff, applicants, committees, and awarded populations.
