SPECIFICATIONS / CONTRACT REQUIREMENTS: Lodging: • 40 Rooms for nights for first night (Night before Day 1) • 170 Rooms for night for second night (Day 1) Prices shall be within allowable state per-diem rates to include all fees. Day 1 • Main Conference Room – seating for 170 people – preferably classroom/theater style (all day 8:00am – 7:30pm) • Registration/Check-in table set up outside of main conference room (8:00am – 10:30am) • Break Out Conference Rooms: Four (4) rooms each room to hold at least 30-40 people (theater style) – 10:30pm – 4:30pm • A/V equipment Package: For main conference room and break out conference rooms, large screen, podium, microphone, projector, computer cable/HDMI, speakers and Wi-Fi / high speed internet access. • Continental Breakfast Day 1: Prices shall be within state per-diem rates; all inclusive: To be served at 8:00 am to 10:00am to be provided in the main conference room for approximately one hundred and seventy (170) people. * Price shall include all dinnerware and silverware, napkins, and condiments for tea and coffee, services fees and gratuity. • Hot Lunch Buffet, Day 1: Price shall be within state per-diem rates; all inclusive. To be served at 12:15 pm to be provided in the main conference room for approximately one hundred and seventy (170) people. Hot buffet should provide two (2) meat entrees two (2) vegetables selections including a starch, assorted cakes and pies, warm rolls w/butter, iced tea, coffee, and water. *Price shall include all dinnerware and silverware, napkins, and condiments for tea and coffee, services fees and gratuity. • Dinner Buffet, Day 1: To be served at 5:30 pm and may use the main conference room for approximately one hundred and seventy (170) people. Hot buffet should provide (within the state Per Diem all inclusive) two (2) meat entrees, two (2) vegetables selections including a starch, assorted cakes and pies, warm rolls w/butter, iced tea, coffee, and water. *Price shall include all dinnerware and silverware, napkins, and condiments for tea and coffee, services fees and gratuity. • Lodging – 170 rooms(within state per-diem) Day 2 • Main conference room : Seating for 170 people – prefer round tables of 8-10 people per table (7:00am – 1:30pm) • Break Out Conference Rooms: Four (4) rooms – 30-50 people per room (theater style) – 7:00am – 1:30pm • A/V equipment package : For main conference room and break out conference rooms. large screen, podium, microphone, projector, computer cable/HDMI, speakers and Wi-Fi / high speed internet access. • Hot Breakfast Buffet, Day 2: To be served at 7:00 am in the main conference room for approximately one hundred and seventy(170) people. Breakfast shall include a variety of breakfast type foods. *Price shall be all inclusive and within state per diem and include all dinnerware and silverware, napkins, and condiments for tea and coffee, services fees and gratuity
