Provide a full continental breakfast to include assorted breakfast breads, pastries, fruit and juice for up to 250 people each day. Provide all-day coffee service and hot water/tea bags each day. Hot water should be complimentary; tea bags and coffee to be charged on consumption (per bag / per gallon). Provide a hot buffet or plated lunch to include salad, entrée with vegetables, rolls and butter, dessert, coffee, iced tea and iced water for up to 250 people each day. NOTE: Vegetarian and/or other special diet meals must be available at no additional cost, and preferably with minimum advance notice. Audio/Visual (A/V) Equipment Needs: A/V equipment is an important component of the conference and will require the contracted facility to be flexible in providing equipment and services as needed. DCJS anticipates needing multiples of the following items throughout the event. Standing Lectern Wireless Handheld Microphone Wireless Lavaliere Microphone Full Dual Projection Package (for General Sessions) Meeting Room Projection Package (for Breakouts) Confidence Monitor with Stand Multi-Channel Audio Mixer Laptop Audio Additional Audio/Visual Requirements: All equipment provided shall be in good working condition and the contracted facility or their contractor shall inspect equipment at the beginning of each day to assure reliability. The contracted facility or their contractor shall maintain back-up equipment to substitute in case of failure within fifteen (15) minutes of notification from the agency conference staff. The contracted facility shall have an A/V technician on-site throughout the Conference. DCJS, at its discretion, may use its own A/V equipment at no extra charge. Parking: Parking should be available to accommodate all attendees. Free parking is desired for all attendees, but if there will be a charge for parking, offerors must include this fee in the proposal. Offerors should include information on the number of handicapped parking spaces available and their proximity to the entrance(s) of the facility.
