Contractor shall provide catering services for a wide range of events such as; board and commission dinners, city council meetings and retreats, ceremonies, luncheons, holiday and special events, ribbon cuttings, wellness fairs, etc. Contractor shall provide but may not be limited to, the below requirements: 1. Capabilities o Manage events for both small (less than 50 to 100 attendees) and large scale (up to 800 attendees) events. o Prepare food in a clean and hygienic manner in accordance with all applicable health and safety regulations. o Provide all labor, equipment and materials as requested by the City. 2. Licensing & Permits o Shall have a valid catering license and permit, including authorization to serve alcohol, as required by Virginia state regulations. o Responsible for applying for, paying for, and securing all necessary ABC permits. 3. Customer Service & Staffing o Provide excellent customer service from event planning through post-event followup. o Ensure staff are professional, well-groomed, and dressed in food service uniforms. o Have staff available for daytime, evening, weekend, and holiday events. 4. Menu & Customization o Offer food tastings upon request. o Provide a range of pricing options and a diverse menu to suit different needs and budgets. o Provide a range of menus (i.e., breakfast, lunch, dinner, cocktail and formal receptions, beverages, snacks, etc.) with emphasis on quality, presentation and adaptability to dietary restrictions. Provide boxed, buffet and plated options as requested. o Offer ethnic menu options and the ability to customize menus. o Provide allergy-friendly options, prevent cross-contamination, and ensure staff are trained to answer food allergy-related questions. 5. Event Setup & Presentation o Supply a variety of linens, napkins, tableware, utensils, glassware, and tables. o Set up tables, linens, and food service areas to match the event’s theme and branding. o As requested, Contractor shall provide an estimated timeline for preparation, service and cleanup for each event.
