Specifications include, but are not limited to: VDOT will provide the Contractor with AVL equipment and service for each vehicle in this Agreement. The Contractor shall be fully responsible for AVL equipment during the period of October 1, 2024 or when provided to Contractor, through April 30, 2025 or until equipment is returned to VDOT. o VDOT will conduct testing of the AVL units November 13 – 15, 2024 and December 11-13, 2024. These tests, known as “Ping Dates” are utilized to ensure the AVL units are installed and working properly. The contractor will be required to have the units turned on and accessible for the “Ping Dates”. If the units installed do not register or respond to the Ping signal, the VDOT Contract Manager will contact the contractor for resolution. o The Contractor shall have the AVL equipment turned on from the time the Contractor reaches the Designated VDOT Location or at the staging location, whichever is earlier. AVL equipment must remain on, operable and accessible to VDOT until the Contractor is released from Operational Services. o The Contractor shall utilize the AVL equipment in accordance with the instructions provided by VDOT. o The Contractor shall be responsible for any damage it causes to AVL equipment in its possession and shall pay replacement cost if the equipment is not returned to VDOT in the same working condition as when received by Contractor. o The Contractor shall return all VDOT AVL Equipment when directed by the Designated VDOT Location. o Sign On Bonus & Mobilization Payments Defined for Vendors with Licensed Equipment: Limit of one Vendor Sign On Bonus payment per vendor per snow season. Early Vendor Sign On Bonus (Deadline – October 15, 2024): Vendors who submit a Complete and Executed Electronic Agreement and ALL Attachments by October 15, 2024, will receive $1,000.00 sign on bonus (limit of one per vendor). In addition to the sign on bonus, the contractor will also receive preseason mobilization payment and post-season mobilization payments for each piece of equipment accepted by VDOT. Sign on bonus is lump sum and not per piece of equipment. o In addition to the sign on bonus, the Contractor will also receive pre-season mobilization payment(s) and post-season mobilization payment(s) for each piece of equipment accepted by VDOT. o Any vendor who signs up after October 15, 2024, will not be eligible for the early sign on bonus payment or pre-season mobilization payment. If vendor signs up after October 15, 2024, but before November 1, 2024, and has met all criteria and equipment has been accepted by VDOT, will qualify for the post season mobilization payment only. October 16, 2024 – November 1, 2024 - Applicable post season bonus only. Mobilization Payments: Mobilization payments will be paid for licensed equipment as follows: Tandem Trucks - $1,800.00 - Distributed in two payments $900.00 (pre-season) and $900.00 (post season) Single Axle Dump Trucks - $1500.00 – Distributed in two payments $750.00 (pre-season) and $750.00 (post-season) Ton, ¾ Ton & Pick Up Trucks used for plowing - $1,000.00: Distributed in two payments $500.00 (pre-season) and $500.00 (post-season)
