Specifications include, but are not limited to: The Port Authority seeks a service provider that can provide miscellaneous safety equipment portwide, which includes vendor inventory/managed systems for Barbours Cut Terminal, Bayport Container Terminal, and Turning Basin Terminal. All three terminals have high frequency use of personal protective equipment (PPE), including gloves, head and face protection, protective clothing, eye protection, and other miscellaneous items. There are approximately 100 employees at Barbours Cut Terminal, 100 employees at Bayport Container Terminal, and approximately 80 employees at the Turning Basin Terminal who utilize PPE. Due to 24/7 operations at Barbours Cut and Bayport Container Terminals, employees require access to safety equipment on a 24- hour basis. Employees who work at the Turning Basin Terminal work on 8 or 9-hour shifts during the day. 1. Vendor-Managed Inventory. The Service Provider shall perform the following services: • Coordinate with PHA to select the appropriate location for • the identified inventory and determine the appropriate setup based on product type. • Visit the selected site to organize and label inventory. • Provide inventory labels that include at a minimum the product description, product • manufacturer’s name, product image, SKU number, desired inventory levels and • stocking location. • Identify the inventory at least once per week needing replenishment and submit and manage the order based on PHA’s workflow processes. • Replenish the inventory no later than forty-eight (48) hours after the inventory count. • Compile the data from the count on an inventory spreadsheet that is updated after every count. • Provide, upon request from PHA, a detailed inventory spreadsheet that includes at a minimum the inventory label data at no additional cost to PHA. • Provide PHA with a dedicated representative who will be available to process product returns, expedite orders and respond to inquiries. • Store the inventory in PHA’s identified storage area. • Confer with PHA to make product recommendations for future shipments. • Be responsible for ensuring that all inventory meets or exceeds the minimum industry safety standards. 2. Vending Machine. The proposed vending machine must meet the following minimum requirements: • Point-of-use coil dispensing machine to accommodate small PPE, such as gloves, ear plugs, safety vests, etc. • Detailed record keeping and inventory tracking of items shall be electronically recorded and assigned to an individual employee so that they can be tracked throughout the contract period. • Provide alerts when inventory levels in the machines are at the minimum-established level. • Restrict and limit employee access, including item quantity and dollar amount for a set period. • Contain at a minimum pertinent information for each item maintained within the program, including product manufacturer’s name, product SKU number, employee name, employee/ID number, date of issue, number of product dispensed, spend by employee, spend by terminal, spend by department.
