Specifications include, but are not limited to:University requires the following Services from an advertising broker at no fee to the University other than the direct cost of print or online advertisement incurred at time of posting. The rates passed through Contractor must be the standard agency rate charged by the publication. Contractor must not charge University any fees above what the publication charges. 5.2.1 Contractor must: Assist Departments with managing the budget for Services and provide suggestions to maximize the budget; Visit University at least three (3) times at Contractor’s own expense to introduce services, present presentations to Departments, and ensure expectations are being met. Visits must occur at least once every four (4) months (ref. APPENDIX FOUR of this RFP for Department locations); Stay current on higher education associations, trade magazines, trade journals, websites, etc., so as to best position recruitment advertisements and act as a resource to University departments; Monitor Ad requests for changes in job vacancy status and update accordingly; Provide monthly feedback to requesting Department contacts on the status of Ad request (i.e., job vacancy status); Respond to requesting Department contacts within twenty-four (24) hours of receiving an Ad request; Provide Departments customer service surveys after the completion of Ad requests. Provide Human Resources with the survey results by the 15th of the following month a survey is completed; and Develop informational materials and procedural guides for submitting Ad requests to Human Resources and Department contacts. 5.2.2 Design and Copy Editing Services Contractor must provide Ad layout and graphic design service. Contractor must ensure Department Ad requests meet the following compliance standards. Ad request must include: University name; Job vacancy number; Wording that states “Job position is security sensitive”; Equal Opportunity Statement; and Specifications that do not conflict with official University job posting
