Specifications include, but are not limited to: 1. Must be provided to OCA as a Software-as-a-Service (“SaaS”) model. Vendor will completely manage all environments, including compliance with cybersecurity laws and regulations. OCA will not provide any assistance in management of the environment. 2. Provide a web-based application that can work on all devices that allows participants to provide their name and role and enter the Zoom waiting room through a bi-lingual registration process – noting if they have entered through the Spanish page and need a translator. 3. Replace the given name of the participant with the name they registered with via the web-based app. 4. Provide a Zoom waiting room that allows the participant management via the web-based app. 5. Auto-group participants based on data acquired through the connected case management system or via eFileTexas.gov APIs. Allows Judges and Court Coordinators to also group participants manually into cases. 6. Allow Judges/Court Coordinators to re-assign participants to additional or multiple cases. 7. Allow the web-based app to organize cases by arrival time, case priority and availability of participants. 8. Allow Judges/Court Coordinators to change participant information via the web-based app. 9. Allow Judges/Court Coordinators to add participants to the main zoom room via the web-based application. 10. Record the amount of time spent per case via the web-application. 11. Allow Judges/Court Coordinators to remove participants to the main zoom room via the webbased application when indicating the hearing has concluded. 12. Provide chat functionality for Judges/Court Coordinators to discuss zoom logistics from within the web-based application. 13. Provide training to Judges/Court Coordinators on the usage of the web-based application. 14. Provide an appropriate on-boarding experience for Judges/Court Coordinators 15. Import docket entries to pre-populate case information for non-integrated case management systems. 16. Create participants, roles and place them in the appropriate case(s) based on imported docket entries. 17. Match registered participants to their pre-configured participant/role within the case based on imported docket entries. 18. Provide a view to the court team of all pre-configured cases along with participants and waiting room status. 19. Provide reporting with the use of the docket import functions.
