Specifications include, but are not limited to: Vendor to provide student and faculty/staff (availability permitting) private mailbox and package services at two service locations on the Texas A&M University campus: The Commons Lobby (room 126) and the Hullabaloo Lobby (room 136). Faculty/staff mailbox rentals will only be offered after all student requests have been filled. The vendor will be responsible for and provide, at a minimum, the following services for the two locations (Commons Lobby and Hullabaloo Lobby): • Advertising, promoting, processing, collecting and accoutni8ng for all rental and service fees collected. • Vendor to provide Residence Life a copy of pricing sheets, contract and sample renewal notice in April of each year for the following year. • Vendor to provide Residence Life with a report in January and June of each year outlining number of complaints, lost mail, slow mail, etc. • Maintain a website for students and faculty/staff that includes tracking abilities, how to contact the vendor, and a list of products and services with pricing. • At a minimum, vendor must take payment via cash, check, or credit card. • Vendor is required to maintain, issue, and change combinations for mailboxes upon turnover of customer. • Vendor is required to maintain keys for ADA mailboxes and is responsible for rekeying for lost keys. • Deliver, by 2 PM daily, all USPS letters/packages and common carrier’s letters and packages • All USPS mail and common carrier mail/packages will be sorted/processed at least three (3) times a week during winter break and spring break. The vendor will only be closed for business on those days as designated by the Federal, State, USPS, and Common Carrier. • Bulk mail bins/containers used for transporting mail may not be left in public areas of Residence Life facilities. • Obtaining, maintaining, and retaining in accordance with US postal service rules and regulations the appropriate documentation to receive and deliver all categories of USPS mail and packages. • Returning and accounting for all USPS and common carrier letters and packages which are mistakenly or incorrectly addressed/sent to non-mailbox holders. • Receiving, accounting for, distributing, and shipping (at the student and faculty/staff expense) using the following companies and categories: o US Postal service mail/letter and packages o UPS letters and packages o Federal Express “express” letters and packages o Federal Express “ground” packages • Receiving, accounting for, and distributing all other common carrier’s (Lone Star/DHL/etc) letters and packages • Providing for a drop off and pickup location for prepaid letters and packages for US Postal Service/UPS/FedEx (“express” and “ground”)/DHL
