The main functions and capabilities of the desired Solution should include the creation and tracking of due diligence reports, meeting notes, and other documents/reports, document storage and retrieval, and workflow/manager tracking. The A&M System will consider several criteria when selecting a Solution including but not limited to the following: A. Ease of access – The Solution should be easily accessible regardless of the employee’s physical location. In particular, investment team members should be able to quickly and securely access relevant information including by computer, tablet, or phone when traveling. A cloudbased system and/or app is preferred. B. Customization – The Solution should have a customizable dashboard by user with several filter/sort options and drill-down menus to view specific data when needed. The ability to customize reports to include specific fields is preferred. C. Templates – The Solution should have the capability to create reports using predefined templates for items such as new manager due diligence, reference checks, ongoing due diligence, etc. D. Workflow and manager due diligence tracking - The Solution should eliminate the dependance on manually tracking workflows in Excel, Outlook, etc. Routine operational tasks such as tracking receipt and review of quarterly reports, tax forms, form ADVs, annual State disclosure forms, or other custom requirements should be managed within the system. E. Notes organization and calendar reminders – The Solution should have the ability to organize due diligence meeting notes by manager. A calendar function that can track meetings with each external manager on a fiscal year basis and provide reminders when meetings are due is desired. The system should have the ability to track the number of meetings required to allow the investment team to easily monitor the managers that need two meetings per year versus managers that need fewer meetings. A unique identifier and template for managers that are in their initial year of due diligence is preferred. F. Customer support and communication – The Solution provider should have a customer support team that is readily accessible, especially during the onboarding process. G. Security – The Solution must maintain compliance with A&M System security standards.
