Specifications include, but are not limited to: The Health and Human Services Commission (HHSC) Procurement and Contracting Services (PCS) on behalf of the Department of Family and Protective Services (DFPS) is issuing this Invitation for Bid (IFB) to solicit Respondents to enter into contracts with DFPS to provide Hotel conference services for FY23 Human Trafficking Summit. Summit to occur on either of the following dates (listed in order of preference): 06/19/2023 – 06/23/2023 06/12/2023 – 06/16/2023 06/05/2023 – 06/09/2023 Respondent may submit a separate proposal for either or all dates. Location must be in either (listed in order of preference): Dallas, TX, Fort Worth, TX, Arlington, TX, Houston, TX, Round Rock, TX; 1. Monday check-in, conference all day Tuesday, all day Wednesday, 1/2 day Thursday; General Sessions occur at the beginning and end of conference. 2. Venue must be equipped to handle Federal/State official/dignitary security requirements. 3. Venue must accommodate 1300-1500 attendees in general session (mixture classroom and theatre seating); 6-8 simultaneous breakout sessions (mixture classroom (10-20%) and theatre seating (90-80%)). 4. Venue must have access to a minimum of 450+ hotel rooms per night at Federal per diem rate with nearby overflow hotel rooms to assist with additional hotel capacity. Conference rate for shoulder nights to the conference including shoulder weekends must be available as needed for a small subset of conference attendees.
