It is the intent of this RFP process to identify and engage an experienced and qualified event coordinator to plan and execute the City of Pearsall's Hispanic Heritage Festival for the 2026 calendar year. 1. The City has identified several key requirements that are important components to each proposal. The successful proposer will be required to provide, at a minimum, the services below: a) Plan, organize and execute any and all activities necessary for the success of the event b) Meet with city staff to discuss and coordinate plans and discuss any request for in-kind services from the city c) Prepare a budget and any pre/post reports required by the city or state statute for event d) Allow the city to audit and request documentation as it relates to any expenses for event e) Attend city council meeting/s and answer any questions the city council may have related to event f) The event will have an expense budget not to exceed $75,000 g) Proposer should have sufficient detail explaining activities and events that will take place h) Proposers are encouraged to be creative, yet realistic in determining elements of the proposed event
