The objective of this request for proposals is to secure a multi-year contract with a firm to provide propane and propane fueling equipment for school buses. White County currently has no propane powered school buses, but is anticipating the receipt of three (3) 72- passenger Blue Bird Vision, Type C Propane School Buses in July 2025. Any solution proposed in response to this request for proposals shall meet or exceed these specifications. 1. Feuling Equipment Contractor will be responsible for supplying the following fueling equipment. a) 1,000 gallon steel propane tank b) One (1) propane auto gas dispenser c) Propane dispenser meter and pump d) All other equipment, fittings, and assemblies required to fuel a school bus 2. Site Preparation by County White County will install a concrete pad with required electrical connections in accordance with awarded contractor’s specifications. Contractor will be responsible for setting tank, equipment, and making final electrical connections. Following the installation of the tank and equipment, White County will install bollards around tank and equipment for safety purposes. 3. Propane Fuel Contractor is required to provide propane fuel to the county for the duration of the contract. All propane delivered under this contract must be of appropriate quality for vehicle use. a) Contractor must be able to provide a refill of the tank, once contacted for refill services. In general, contractor will be required to provide a refill within one (1) to two (2) business days of contact. b) Contractor must coordinate tank refills with county, as the tank will be located behind a fenced area which is secured during non-business hours. 4. Equipment Ownership The contractor shall retain ownership of all fueling equipment, including the tank, dispenser, meter, pump, and all other components as noted in section 1 above. At contract termination, the contractor shall be responsible for removing equipment from White County’s premises within thirty (30) calendar days.
