Specifications include, but are not limited to: The University seeks a robust software solution that will provide a digital process for all employees to disclose outside interests in a way that facilitates administrative review to identify potential conflict of interest and to aid in the development and documentation of conflict management plans and to identify compliance gaps. Describe how your product meets the following criteria: Scalable to UTK campus or all employees across system; Provides a non-employee category for visitors and subcontractors who do not have personnel information in the ERP system; Ability to import responses from prior form submissions; Effective and efficient interface with the following key products currently in use: SAP – the University’s current ERP system Oracle ERP software (currently in early stage of implementation, expected go live date is mid-year 2024); Cayuse research administration software; Interfolio academic affairs management software; iMedris or other research software (e.g. Kuali) Provides electronic workflow routing to employee’s supervisor for initial review, then tiered routing based on responses to specific questions for final form approval; Ability to attach PDF, Word and Excel documents to an employee’s disclosure “form,” which are digitized into searchable content and retrievable in multiple ways (e.g. by employee, by type of management plan, by expiration date); Ability to track expiration dates of management plans; Ability to query data for disclosures based on individuals and disclosure information (e.g. company name); Ability to provide reports (for example, status of disclosures, responses to questions and management plan metrics); Ability to force completion of a new disclosure annually, with on-demand revisions when employees have new circumstances to disclose; Preserve all prior versions of the disclosure; Includes audit tracking.
