Specifications include, but are not limited to: Digital Color Copier with 36 Month Rental; Maintenance for 36 months with a fiscal year-to-year option to extend thereafter. Per copy maintenance cost must include all parts, labor, mileage, per diem, toner, developer, fuser agent, reclaim bottles, staples and/or all other consumables with the exception of paper. There will be no minimum monthly maintenance charge paid to the vendor on this machine. The State will only pay charges reflecting actual monthly usage times the per copy cost proposed by the vendor. For evaluation purposes, the per copy maintenance cost will be calculated and added to the purchase price to determine low bid based on pricing for the “Zero Base Service and Supplies Pricing” category while using the following formula: Per color copy cost X 11000 X 36 months = Total Maintenance Cost. This assumes the users are averaging 11000 pages a month. The rate per copy may not exceed the approved cost for the life of the machine and shall continue even if the vendor no longer has a current contract with the State. Should the copier fail to operate satisfactorily, for any reason, it will be the responsibility of the vendor to like-for-like replace or otherwise make good said copier in a timely manner at no additional cost to the state, until copying can be achieved in satisfactory manner. Repair, installation and/or de-installation costs incurred to meet this requirement will be the sole responsibility of the vendor. Should it occur that the vendor is unable to provide satisfactory service and/or a satisfactorily operating copier, any contract(s) resulting from this bid will be declared null and void and the vendor will remove said copier from State property, at which time rental and/or maintenance payment will no longer be made by or expected from the State. Maintenance: Major alarm-machine is down and is not functioning; technician must be on site within (2) two hours of report of malfunction except for during the State Fair technician must be onsite within (1)one hour. Minor alarm-machine is still functioning, but there is minor maintenance needed, technician must be on site within (4) four hours of report of malfunction. If machine cannot be repaired within (8) eight hours a loner equal to or better than existing copier must be supplied until return of the rented equipment in acceptable condition to the State.
