Specifications include, but are not limited to: SDBOR is seeking a SYSTEM that assists in developing, organizing, accessing and executing contracts and related documents, from the beginning of the request through complete closure of the contract, while housing these documents in a secured system. SDBOR is interested in a SYSTEM that shall include, but not limited to the capabilities as described below: Ability to utilize templates within the system Ability to import 3rd party documents Ability to make changes to and track all changes within the document Ability to interface with DocuSign for electronic signatures Ability to assign contract numbers Ability to notify the document owner of end dates/renewals, status updates Ability to store completed documents for easy retrieval Ability to track payments made against the contract Ability to interface with Ellucian Banner (optional) Ability to interface with Jaggaer eProcurement (optional) Ability to process amendments and to track all amendments with the original document Ability to create a copy of an existing document Ability to compare different versions of the document Ability to create contract categories by contract type and institution Ability to work with a multi-institutional system and retain individual campus identity Ability to classify as capital/operating leases versus consulting services Ability to track future required payments by fiscal year Ability to search database by vendor, department, institution, contract type, etc. Ability to work with various forms of technology such as smart phones, laptops, tablets, etc. Ability to create workflow based on internal logic Ability to allow document security The intent is to procure a contract management software system that will ensure that any SDBOR staff with appropriate access can easily find and view critical contract data, research historical contract record data, produce individual and summary reports and provide alerts for end of the contract terms.
