The vendor must successfully be able to meet the following requirements: Specifications 1. Data Capture & Entry By Vendor a. Automated bill data imports/downloading from utility providers (where available). b. Vendor is responsible for manual entry of utility bill details (account numbers, billing periods, usage, taxes, period cost, etc.) where automation is not available. 2. Validation & Accuracy Checks a. System flags missing, duplicate, or abnormal entries. b. System cross-checks usage and cost trends against historical data. 3. Data Management a. Provides secure storage of billing information for audit and compliance purposes. b. Provide alerts for missing bills/data, abnormal trends (spikes/dips), fees, late payments, etc. c. Provides categorization by facility, location, department, meter, and utility type. 4. Reporting & Analytics a. Monthly and annual energy cost and consumption reports. b. Benchmarking by building, site, utility type, and time periods. c. Current and historical trends d. Export capabilities to Excel and/or financial systems. 5. Integration a. Interfaces with financial/accounting systems for payment processing. b. Integration with energy management and/or sustainability dashboards, Energy Star Portfolio Manager, etc. . 6. User Access, Onboarding, & Security a. Role-based permissions for customer data entry, review, and customized reporting. b. Audit trail of system/service edits and approvals. c. Provide Integration guides, user manuals, change logs, and release notes d. Provide onboarding support for new utility providers/accounts, and customer end users and administrators accounts 7. Technical Requirements & Specifications a. Provide acceptable responses to our YTC SaaS Questionnaire and Security Assessment Questionnaire that demonstrate the ability to meet YTC Technical Requirements b. Provide a demonstration of service/system capabilities 8. Monitoring and Auditing a. Real-time monitoring of data retrieval success/failure b. Dashboard for client-side monitoring 9. Deliverables a. Full system architecture and design documentation b. Working prototype (if custom build) or access to production system c.
