Specifications include, but are not limited to: This RFP seeks proposals to implement a comprehensive Probation and Parole Case Management System (PPCMS) that will improve efficiency, accuracy, security and the quality of data well as provide a comprehensive workflow tool. RIDOC specifically seeks to review systems that currently exist in production or that can be adapted to fit the needs as described in this RFP (including the accompanying Exhibits). Elements and functionality required in the proposal are detailed in Section 4. The following scope shall also be specified as included in the proposal: Conversions and Interfaces Up to 50 conversions and 20 interfaces, the majority of which are briefly described in Exhibit C: Interfaces and Conversions. In addition to these individually significant data transfer efforts, dozens of data lists for configuration to ensure functionality and populate drop-down lists, and over 7 gigabytes of images (photos) must be migrated. Letters and Forms Design, construction and configuration of up to 120 templates capable of being automatically generated using “mail merge” functionality, able to be manually edited before finalization, convertible to a PDF, storable as part of an individual’s digital case/profile, and available for distribution. Some documents require signatures. Please explain whether a proposed platform includes the ability to gather a digital signature via some external/mobile device or would require printed documents (using templates from the platform) be signed, scanned and uploaded to a document library/profile. Training and Documentation 1) User Training: Training sufficient to result in an acceptable and sustainable level of comfort and capability among RIDOC users. 2) Support and Maintenance Training: To reduce long-term costs, increase the level of customer service to our users and decrease dependency on the vendor, RIDOC expects to be all but fully self-sufficient in administering the PPCMS. Dependent on solution capabilities, RIDOC expects to have the ability to perform basic configuration, administer users including permissions and security, review audit logs of system activity, customize screens, add new fields and customize workflow and reports independently, etc. This will require knowledge transfer from vendor technical staff to RIDOC technical staff. If a proposed platform does not allow for full client self-support as described in this paragraph, please explain which of these desires cannot be fully met and describe with clarity the level of autonomy that may be achieved as close to that described above.
