The North Kingstown School Department (NKSD) is seeking qualified bids for a replacement Hyper-Converged Infrastructure. Qualified bidders will include firm quotations based on the specifications noted below. Requests for proposals and instructions to bidders may be obtained at the North Kingstown School Department Technology Office, 120 Fairway Drive, North Kingstown, RI 02852.

All proposals must be received by the school department in the Technology Office, 120 Fairway Drive, North Kingstown, RI 02852, or through BidNet Direct, no later than 1:00 pm on June 10, 2025. Physical proposals are to be submitted in a sealed envelope, plainly marked with the name of the company submitting the proposal and the phrase identifying the bid item: NKSD 2025 HCI RFP.

Proposals will be publicly opened and read at 1:00 pm on June 10, 2025, in the Information Technology Office, 120 Fairway Drive, North Kingstown, RI 02852.

The North Kingstown School Department expects to award the successful bidder at the June 17th, 2025 School Committee meeting and would process payment via Net 30 Purchase Order in the month of July.

The North Kingstown School Department is looking to replace its on-site Hyper-Converged Infrastructure (HCI) solution. The current solution that will be replaced is a Dell VXRail 4 node solution which includes VMware as a hypervisor and virtualization environment as well as Dell EMC switches for HCI designated traffic between nodes.
NKSD reserves the right to split the award of this RFP to multiple vendors if deemed in the best interest of the district.
NKSD reserves the right to partially award this RFP if deemed in the best interest of the district.

SPECIFICATIONS:

HCI solution must be for an on-site / on-prem solution
HCI solution must provide at least 1 node of failure for redundancy
CPU: Minimum of 8 cores per node - Ex. Intel Xeon Silver 4309Y equivalent or better
MEMORY: Minimum 256 GB RAM per node, 512GB RAM per cluster while in failure/maintenance
STORAGE: Minimum 20 TiB usable storage AFTER raid redundancy for minimum 1 available hard drive failure per node
HCI designated traffic network switch, or switches, if required
All necessary SFP modules / transceivers
All necessary cables such as Power cables, copper patch cables, and fiber cables. For cable length, assume 5 meters for networking cables and 6ft for power cables and miscellaneous
VM Data Migration Services
On-site initial installation services preferred
Hypervisor Training service for North Kingstown School Department staff if proposed solution does not use VMware
Compatibility with Veeam backup solution or include a compatible backup software. If bidding a backup solution the software must be compatible with Exagrid hardware or include necessary hardware in the proposal
5 year hardware and software support. 24 hour hardware replacement preferred.
5 year licensing for Hypervisor solution compatible with HCI proposed. If proposing Windows Hyper-V then this can be skipped as North Kingstown School Department already has licensing for Windows Hyper-V.
Single unit disaster recovery node that would be run off-site at one of our other buildings would be preferred. Must match CPU, MEMORY, and STORAGE requirements listed above
If recommending an alternative Hypervisor from VMWare, include necessary transition and migration service costs
