The "Prime Producer" Role The selected Contractor shall serve as the Prime Producer for the City of Homestead’s Independence Day Celebration, “Race to the Fourth – America 250 Celebration” event on July 4, 2026. The Contractor accepts full responsibility for planning, coordinating, and executing all elements of the event. The Contractor acts as the City's agent in all operational matters, ensuring a unified chain of command. 2.1.2. Designated Project Team The Contractor shall assign a dedicated "Core Project Team" consisting of, at a minimum: Executive Producer: Senior oversight, budget authority, and primary City liaison. Operations Director: Responsible for site build, permitting, security, and logistics. Technical Director: Responsible for stage production, talent integration, and the drone/pyro interface. Sponsorship Manager: Responsible for revenue generation and asset fulfillment. The City reserves the right to approve or reject key personnel. The Contractor must guarantee that the Executive Producer will be available for bi-weekly video conference status meetings, commencing upon contract award through April. Beginning in May, the meetings will transition to weekly in-person or video meetings. The City will assign an Event Director to represent the City and work with the Contractor on this event. 2.1.3. Master Production Schedule Within thirty (30) days of contract award, the Contractor will submit a comprehensive Master Production Schedule (MPS) using industry-standard project management software (e.g., MS Project, Asana). The MPS must track all critical path milestones, including: Brand System Design/Conceptual Design Talent booking windows and announcements.
