The State of Hawaii’s Executive Office on Aging’s needs a provider who can deliver the following auditing services: Spending Reports and Claim Management Review and verify monthly spending reports provided to the EOA by the FMS for each veteran enrolled for accuracy. This shall include, but is not limited to the following: Each veteran’s monthly expenditures do not exceed their monthly budget; Each veteran’s monthly expenditures do not include unbillable days, as determined, and communicated by the EOA. Communicate errors found on veteran spending reports to the EOA and the FMS and track the status of corrections. Email monthly spending reports to the VA for review and approval. Respond to the VA’s request for corrections to spend reports and inform the EOA and FMS on needed corrections. Email corrected spend reports to the VA for approval. Inform FMS when monthly spending reports are approved by the VA. Claim Management Review FMS generated claims for EOA reimbursement from the VA for VDS services and supports. Communicate approval of claims to FMS. Track electronic claims submitted by FMS. Report claims rejections to the EOA. FMS Invoice Review monthly CLP and VDC invoices submitted to the EOA by the FMS for accuracy. Identify and communicate with the EOA and FMS concerns, corrections, and questions. Track corrections. Ensure FMS invoice for the VDC program reflects costs identified in the spending report for each participant. Recommend payment of FMS invoice to the EOA. Track monthly expenditures for CLP and VDC participants. Coach Monthly and Quarterly Contacts Generate monthly and quarterly coach contact report from WellSky (or Mon Ami) monthly as requested by the VA and EOA. Review and verify contacts made by coaches. Inform EOA of missing monthly and quarterly contacts. Billing Generate electronic claim for VDC enrollment fee using the EOA’s electronic billing platform. Track claim status and report claim acceptance and rejection to the EOA. Spend Plan Track spend plan due dates for CLP and VDC participants. Inform coaches of spend plan due date six (6) weeks prior to expiration Assessment Track assessment due dates for CLP and VDC Inform assessors six (6) weeks prior to due date. Additional Requirements Attend meetings, in-person and virtual, as directed by the EOA. Provide EOA with ten (10) business days’ notice of any planned leave. Respond to emails or phone messages from the EOA, coach, assessor, VA, and FMS within twenty-four (24) hours, not including weekends and EOA holidays.
