4.2.1 General Requirements • Be able to provide preventative maintenance in accordance with the Original Equipment Manufacturer (OEM) specifications. • Be able to source and supply all necessary cooling tower parts, including OEM and compatible components. • Be able to perform corrective maintenance as needed to restore equipment to full operational status. • Be able to perform structural maintenance and repairs when necessary. • Be able to provide preventative and corrective maintenance across all UTMB cooling towers, including those located at Galveston, League City, Angleton, and Clear Lake campuses. • Be able to respond to emergency callouts, with a guaranteed response time and availability 24/7. 4.2.2 Cooling Tower Inventory • Central Plant: 3 cooling towers • West Plant: 2 cooling towers • East Plant: 7 cooling towers (with 6 additional units to be installed within 18 months) • League City Campus: 3 smaller cooling towers • Additional towers may be added at other UTMB locations over time, and the contractor must be prepared to scale services accordingly. 4.2.3 Preventive Maintenance • Visual inspections of all cooling tower components • Cleaning and descaling of fill media, drift eliminators, basins, and sumps • Lubrication of motors, bearings, and fan assemblies • Inspection and adjustment of belts, couplings, and alignment • Inspection and testing of electrical components, starters, and control panels • Monitoring and documentation of water quality parameters • Seasonal startup and shutdown procedures • Reporting of all findings, actions taken, and recommendations 4.2.4 Corrective Maintenance • Structural repairs to tower casing, supports, and framing • Decking repairs and/or replacement • Fan system repairs and/or replacement • Motor repairs and/or replacement • Gearbox repairs and/or replacement • Nozzle and distribution system repairs • Fill media replacement • Valve and pump repairs 4.2.5 Structural Maintenance • Replacement or reinforcement of tower framing and supports • Decking and platform repairs or upgrades • Corrosion treatment and protective coatings • Safety railing and access ladder repairs 4.2.6 Emergency Services • 24/7 availability for emergency repairs • Guaranteed response time (e.g., within 4 hours of notification) • Temporary solutions to maintain operations until permanent repairs are completed 4.2.7 Compliance and Documentation • All work must comply with OEM specifications, ASHRAE standards, and local/state regulations • Contractor must maintain detailed service logs, inspection reports, and water treatment records • Reports must be submitted to the designated facilities manager after each service visit
