Provide a full-service, district-wide copier solution integrated into the existing network and copier environment across all schools and offices. • Users must be able to print to centralized copiers with keypad and RFID release; RFID readers must be interoperable with HID 125-kHz (26-bit Wiegand). • Vendor must provide a cloud-based monitoring and management solution, vendor-supplied (District does not currently use Papercut/MyQ) and hosted on District servers. All license costs, setup, training, and renewal fees must be disclosed. • Complete setup and configuration, including user accounts and print access by location; user limits and reporting may be required at a later date. • Proposal must include all setup, ongoing support, and maintenance. • On-site service response within 4 hours; no service fees during the contract. Loaner equipment must be provided if a copier is down more than 48 hours. • Meter and toner data must be collected automatically. Toner is included for the contract term, with on-site supply at each location, automatic shipment at 25% remaining, and a no-cost recycling program with return labels. • Purchase orders will be issued directly to the awarded vendor. Payment will not be outsourced. • Equipment must be acquired at no upfront cost, with invoicing upon satisfactory completion of the project.
