1. The Contractor shall perform the following preventative maintenance on the generators listed in Attachment A. Services to be provided per the County’s quarterly, annual, and triennials program Preventive Maintenance Schedule. “Quarterly” will be done 4 times per year. Services to be provided “Annually” will be done once a year. Services to be provided “Triennially” will be done once every three years. Triennial scope will be performed in addition to the Annual service that year. An official site-walk with hard bid and scope of work may be requested prior to the maintenance of a generator, as specs may vary per generator. 2. If, during Annual or Triennial Services, additional repairs are determined to be needed, the Contractor may receive permission to do the repairs from the Electrical Shop Lead Electrician. If the repairs cannot be completed that day, the Contractor can provide a quote at a later date. These additional repairs are considered to be Extra Work and shall be billed accordingly. 3. It is the Contractor’s responsibility to have all the necessary parts, oil, coolants, etc. (“Supplies”) to fully perform Quarterly, Annual, or Triennial Services. The County’s expectations are for the Contractor to ask any questions or do any research necessary to determine what Supplies will be necessary. Contractor’s failure to bring correct Supplies, which results in multiple visits, may result in a reimbursement, from the Contractor, to the County for County technician time. 4. A comprehensive list of tasks for Quarterly, Annual, and Triennial Services is in Attachment A. 5. Work classifications. Work performed under this contract shall be classified as follows: a. “Maintenance Work” – Quarterly, Annual and Triennial work as defined in Attachment A. Quarterly work performed as Time and Materials. Annual and Triennial work performed per quote. b. “Extra Work” – Non-Urgent work as decided by the County’s Authorized Representative that needs to be performed in addition to Maintenance Work and not included in the Maintenance work pricing. i. The Contractor shall send a quote for the repairs to the County’s Supervising Electrician and the Authorized Representative. c. “Urgent Work” – Work determined by the County’s Authorized Representative or designee as “Operationally Urgent.” Operationally Urgent means the repairs are needed to get the generator system functional for emergency operations. i. In the event of generator system failure found outside of Maintenance and Repair work the County’s Authorized Representative shall notify the Supervising Electrician and Contractor by telephone. ii. The Contractor shall maintain at all times, a 24-hour telephone answering service and local personnel to properly dispatch skilled equipment repair technicians with the required qualifications to repair all possible equipment failures. iii. Upon arriving at the job site the Contractor’s personnel shall work until the equipment is back on line and normal equipment operating service is restored. iv. The Contractor shall be available to report to a County facility for repairs within two (2) hours of notification during the term of this Contract. The two (2) hours shall be measured from the time the County’s Authorized Representative notifies the Contractor to the time the Contractor arrives at the job site. v. The Contractor shall invoice Urgent Work separately then Maintenance or Repair Work. d. “Capital Improvement Work” – If the County determines that any Capital Improvement Work needs to be completed, the Contractor may be asked to provide a quote for the Capital Improvement work. If the County and Contractor agree to the proposed work, the work may proceed on a time and materials basis
