The vendor selected will provide services including, but not limited to: exhibitor recruitment, logistics, design and layout of the pavilion, lighting, signage, audio, manage pavilion set-up, assist exhibitors with booth, assist exhibitors with guidance regarding importing products to Japan, furniture and transportation needs, conduct after-show follow up surveys and serve as STATE’s in-country coordinator in Japan leading up to, during and after the trade show. All trade show coordination services shall be in accordance with this RFP, including its attachments and any addenda. The vendor selected will provide services including, but not limited to: (1) Plan, design and coordinate the construction and installation of a Hawai‘i Pavilion configured into a blend of up to twenty (20) full booths at the FOODEX JAPAN 2026 in Tokyo, Japan, taking place March 10-13, 2026. The Pavilion must reflect a Hawai‘i sense of place including lighting, partitions and standardized signage and booth design, to attract targeted buyers from each sector: foodservice, retail, and importer/distributor under Japanese government regulations. (2) Identify, recruit, and coordinate with representatives of participating companies to showcase qualified agricultural and manufactured food and beverage products from a minimum of twenty (20) Hawai‘i companies including at least four (4) Hawai‘i companies and/or associations, that are representing various counties in the Hawai‘i Pavilion. (3) Serve as the in-state liaison between the Hawai‘i companies and Japan Management Association, the FOODEX JAPAN 2026 organizer. (4) Provide guidance to participating Hawai‘i companies on transporting their products from Hawai‘i to Japan. (5) Provide guidance to Hawai‘i companies on travel arrangements including, but not limited to hotel selection and transportation to and from their hotel and the Tokyo International Exhibition Center (Tokyo Big Sight).
