a. Three-year Microsoft Enterprise Agreement – Enterprise Enrollment, Server and Cloud Enrollment, including: • Provide Annual True Ups, Entitlements and Reservations, and ad hoc quote requests • Provide primary communication plan along with website and\or portal if available and licensing tracking • The authorized VAR shall be a liaison with Microsoft and work in the best interest of the state and its customers to leverage volume or enterprise license agreements and maximize cost savings through better pricing, publishers’ promotions, or other savings opportunities. • The VAR shall meet customer service expectations, including but not limited to dedicated representation and timely responses and quotes, problem escalation, providing service level performance standards, and quarterly report of licensing entitlements. • Provide key personnel include a primary Account Manager along with a backup and a Microsoft Software Specialist. Provide the definition of their roles and communication expectations. • Provide any expectations for the customer for this engagement. • Quarterly meetings to discuss the current portfolio, product roadmaps and customization, and Strategic Planning. • Quarterly reports to maintain asset management for licenses and subscriptions b. Value Added Services In addition to product licensing, the Contractor must deliver a comprehensive suite of value-added services that support the Agency’s strategic IT objectives. These services may include, but are not limited to: (1) Consultation and Strategic Planning: Assisting the agency in selecting the most appropriate Microsoft licensing models and solutions based on current and projected needs. (2) Product Customization and Configuration: Tailoring Microsoft products and services to align with the Agency’s operational requirements. (3) Training and Knowledge Transfer: Offering training sessions and documentation to ensure effective adoption and use of Microsoft tools by agency staff. included benefits like training vouchers, planning services, or upgrade rights. (4) Compliance and Reporting: Assisting with software asset management and ensuring compliance with licensing terms and regulatory requirements. c. Contract Deliverables (1) License Procurement, Compliance, and optimization including on demand quotes, annual True Ups, and reservations (2) Managing billing and invoicing processes for licenses and subscriptions (3) Renewal and Upgrades to ensure continuous access to the latest features and versions (4) Support for any issues related to licenses and subscriptions
