Task 1: Project Management A. Monthly Reporting: Provide a monthly report showing the contract status, schedule, major issues and risks, major work activities completed in the previous month and expected in the upcoming month. The report shall be in the format required to be imported into the Project Management Information System and Program Dashboard. Submit a monthly report with the monthly invoice by the 15th of each month for the prior month’s work. B. Risk Reporting: Attend a quarterly risk meeting and update the project risk register and the prioritization matrix with any changes in risks that come out of the meeting as appropriate. C. Progress Meetings: Hosts bi-weekly progress meeting on the program status with all stakeholders. Assume one meeting per quarter will be in person in either Albany, Syracuse, or Buffalo. D. Permitting: The Design-Builder shall support all permit applications as outlined in the permitting matrix, including roles and responsibilities for each permit. Permitting matrices will be supplied with each mini-bid event. For construction that requires NYPA Code Compliance, the Design-Builder shall submit the required forms in accordance with the Code Compliance Program, Attachment 15. E. SHPO/THPO Approval: The NYPA Cultural Resources Specialist shall initiate preapplication meetings and obtain approval from SHPO for the program as a whole. For specific sites, the Design-Builder shall provide the necessary documents, including renderings of the site showing pre-construction and post-construction conditions to support the NYPA Cultural Resource Specialist’s application to obtain a letter of no adverse effect or a letter of resolution from SHPO. The Design-Builder shall assume that an internal team meeting with NYPA Cultural Resources Specialist and the Consultant Program Manager will be required prior to the site-specific SHPO application. The submission to SHPO’s CRIS system will be performed by Cultural Resources Specialist after 60% design. Consultation with THPO shall be conducted on an as-needed basis at the discretion of Cultural Resource Specialist. Comments from SHPO and THPO shall be addressed between 60% and 100%. F. Partnering Sessions: The Owner will facilitate up to 2 half-day partnering sessions, per Site, at any time during the Work. The Design-Builder, including key subcontractors, shall participate in the sessions.
