The purpose of this solicitation is to procure a case management system which will: • Be easily internally customizable (e.g. able to make drop-downs, open data entry, if/then, etc.), user-friendly, and have the ability to query any field (e.g. Search all records based on assigned user, time frame, call type, email, phone number, account number, and name.); • Be able to display query results, export query results to excel and csv, and save queries as standard reports; • Log a time/date stamp and a unique record number for each case created; • Identify the county of the caller based on zip code information-highlighting when there is a split county; • Be able to make certain data fields mandatory; • Have a running notes entry section for each case; • Have the ability to create caller profiles, linking multiple case records; • Be HIPAA compliant; • Capture personal data about each caller including things like name, age, contact information, etc.; • A maintenance contract that includes support, troubleshooting, and future possible customization. • Be able to save documents to a case in multiple common formats (pdf, word, jpg, png, etc.) • Be able to email case notes/profiles, documents, etc. from the system directly internally, to consumers, and other agencies; • Allow cases to be assigned to a user and a customizable notification system
