Task 1. Project Initiation and Project Management The Consultant shall coordinate with the CPRG Steering Committee’s Training Subgroup to schedule and facilitate a project kickoff meeting. The purpose of this meeting is to establish a shared understanding of the project scope, schedule, roles, responsibilities, and management approach. The kickoff will also serve as the forum for the Consultant’s project management team to be introduced to key stakeholders and to solicit input from the Training Subgroup. At a minimum, the Consultant shall present the following items during the kickoff meeting: a. Introduction of Consultant team members, including an organizational chart. b. Roles and responsibilities of all participants. c. Overview of the Consultant’s proposed management, administrative, and technical approach. d. Identification of potential issues or risks that may affect schedule or budget. e. Proposed project schedule, including: i. Overview of tasks and delineation of responsibilities. ii. Identification of project milestones and interim deliverables, including draft and review cycles. iii. Process for addressing schedule adjustments. iv. Proposed meeting schedule. f. Proposed communication protocols. g. Preliminary deliverables framework, including: i. Anticipated course delivery format. ii. Process for future course customization beyond the final products (as outlined in Task 3.b.iii). Task 2. Meeting Support The Consultant shall provide ongoing support to the CPRG Steering Committee’s Training Subgroup by scheduling, attending, and facilitating monthly project meetings. The Consultant shall also be responsible for preparing agendas in coordination with BMC staff, moderating discussions, and producing written minutes that document key decisions, action items, and next steps. At a minimum, the Consultant shall: a. Coordinate with BMC staff to schedule monthly meetings. b. Prepare and distribute agendas and supporting materials in advance of each meeting. c. Facilitate and moderate meeting discussions. d. Record and distribute meeting minutes, including action items, responsibilities, and timelines.
